Event Terms & Conditions

1. CANCELLATION POLICY

a) Delegates: If a delegate or their replacement are unable to attend the event, the person responsible for the participation must notify the Organiser by sending an email, with the obligatory acknowledgement of its receipt. Cancellation implies to the entire event.

All delegate cancellations received 45 working days or more before the event are subject to an administrative charge of £100+VAT per Participant. If cancellation is received 44 working days prior to the event or less, but at least 15 working days in advance, the Organiser keeps 50% of the full fee.
If cancellation is made less than 15 working days prior to the event the full fee remains payable.

b) Sponsorship: All Sponsorhship cancellations received 3 months or more before the event are subject to 75% charge. If cancellation is received less than 3 months prior to the event the full fee remains payable to the Organiser.

c) Partnership: Due to the nature of agreement Partnerships are non cancellable. In the case of Partner withdrawing their participation the full fee remains payable to the Organiser.  

2. REGISTRATION, PARTICIPANT REPLACEMENT AND FAILURE TO ATTEND ON THE DAY
Due to Venue’s strict security policy only those named Participants listed on this form will be granted admittance to the event on the day.
An ID Badge will be issued to Participant on the day upon registration and cannot be transferred to any person(s) other than those named on this form.
Replacements from the same organisation are welcome no later than 10 working days prior to the event, notice to be received in writing via email to the Organiser, with the obligatory acknowledgement of its receipt. Failure to comply as above will result in replacement participant being turned away on the day of the event.

3. ACCOMMODATION AND TRAVEL
The fees DO NOT INCLUDE accommodation or travel cost unless specified by the Organiser. If required Participant should contact hotel directly to book their accommodation and arrange their travel to the event.

4. FORCE MAJEURE
The Organiser shall not be liable for any loss, damage or delay resulting from acts of war, civil unrest, strikes, pandemic, local or country wide lock-downs or lock-outs, change in regulation, military activity or any other circumstances which shall make it impossible or inadvisable for the Organiser to hold the event at the time and place provided, and reserves the right to reschedule the event at another date and/or at another site. The Participant is responsible for obtaining an adequate insurance to cover risk of this nature.

5. PHOTOGRAPHY AND VIDEO
Participants are strongly advised against photography and the use of video cameras for the duration of the event and whilst being at the venue’s premises. The Participant and their organisation shall accept the full and sole responsibility for any copyright infringements occurring as a result of their participation at the event.

7. IN CONCLUSION
These Terms and Conditions shall be adhered to by all parties and governed by and construed according to UK law. Any dispute between the Participant and the Organiser is hereby submitted to the jurisdiction of the United Kingdom Court.
